We are an Australian Privacy Principles entity. The small business exemption does not apply to us, because we handle personal information as part of what we sell, and we have not tried to rely on it.
What we collect, and why
If you ask us to call you
The demo form collects one thing: an Australian mobile number, plus the fact that you ticked the box confirming it is yours. We also store the time you submitted it, a one-way hash of your IP address, and your browser's user agent, so we can stop the form being used to harass someone else.
We use that number to place one call. We do not add it to a campaign, sell it, or give it to a customer. The call opens by checking you asked for it, and if you say no it stops and the number is suppressed permanently.
We keep the record because washing a number and placing a requested call are both things we may have to prove to a regulator. You can have it deleted by emailing hello@dialessa.com.
If you are a prospect our customer is calling
A Dialessa customer supplies the list. We act on their instructions to place the call, and we hold your name, phone number, email, job title and employer, along with the recording and transcript of any call, its outcome, and where the contact details came from.
We do not pool one customer's list into a database of our own, and we do not use one customer's contacts to serve another. Contacts that reached us through a customer's own data vendor are deleted when that customer leaves.
To have your details removed, tell the caller on the call and it is honoured immediately and permanently, or email hello@dialessa.com.
How long we keep recordings and transcripts
For as long as the customer who made the call has an account with us. We do not expire them on a timer. A customer buying an outbound calling service is buying the record of what was said on their behalf, and a recording that vanished before they reviewed it would be worse than useless to them and to you.
When a customer closes their account we delete their recordings and transcripts within 90 days, along with the contacts that came from their own data vendor.
None of that overrides your own request. Ask us to delete a recording of a call you were on and we delete it, whether or not the customer still has an account. Our backups keep data for 35 days, so that is the real horizon for any deletion rather than the moment we run it.
If you visit this website
We use Google Analytics to count visits and see which pages are read. IP addresses are anonymised, and we have turned OFF Google signals and ad personalisation, so your visit is not shared into advertising audiences. Your phone number is never sent to Google, and the analytics code does not read the form.
Where your information goes
Prospect data, recordings and transcripts are stored in Australia, in Sydney.
Live call audio is processed in the United States. While a call is in progress, audio crosses to the United States twice: once to the speech model that understands what is said, and once to Cartesia, whose voices our agent speaks with. Neither offers an Australian region today. Cartesia answers from a Sydney edge, but the synthesis itself happens at a United States origin, which we checked rather than assumed.
This is a cross-border disclosure under Australian Privacy Principle 8 and we would rather state it plainly than bury it. Recordings and transcripts come back to and are stored in Australia.
We also use: Twilio for telephony, Cartesia for the voice, Stripe for payments, Amazon Web Services in Sydney for email, and Google Cloud in Sydney for everything else.
Recording calls
Australia is not a one-party consent country, and a recording we hand to a customer goes to someone who was not on the call. So every call that is recorded for a customer announces it and asks, and recording stays off until you agree. If you decline, the call carries on unrecorded.
A demo call you requested from this website is recorded by default, because the box you ticked is that consent and nobody outside Dialessa receives it.
Your rights
You can ask what we hold about you, ask us to correct it, or ask us to delete it. Email hello@dialessa.com and we will respond within 30 days.
One thing we will not delete: if you have asked never to be called again, we keep a record of that request. It holds only a one-way hash of the number or address and the reason. Deleting it is how somebody ends up being called again.
Our backups retain data for 35 days, so that is the real horizon for a deletion rather than the moment we run it.
Complaints
Email hello@dialessa.com first. If we do not resolve it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au, or to the Australian Communications and Media Authority at acma.gov.au for anything about a call or a message.
